Late payment is mostly a follow-up problem. Most clients are not refusing to pay; they forgot, or the invoice is stuck with someone else. A short, polite and predictable reminder sequence fixes most of it, and you can automate it.

This guide gives a schedule and templates, then shows which invoicing tools send reminders for you. Tool details come from vendors' published pages, checked October 20, 2026. We did not test each reminder system.

A reminder schedule that works

When Message Tone
3 days before due Heads-up that the invoice is due Friendly
Due date Invoice is due today, with payment link Neutral
3 days late Quick check that it arrived Polite
7 days late Ask if there is a problem, restate terms Firm
14 days late Mention late fees, ask for a date Firm and clear

Adjust for your own terms. If you do not charge late fees, do not mention them.

Templates

Before the due date. "Hi [Name], a quick note that invoice [number] for [amount] is due on [date]. You can pay here: [link]. Thanks!"

7 days late. "Hi [Name], invoice [number] was due on [date] and I have not seen payment yet. Could you let me know when to expect it, or if anything is holding it up?"

14 days late. "Hi [Name], invoice [number] is now 14 days overdue. As per our agreement, [late fee terms]. Please confirm a payment date by [date]."

Which tools send reminders for you

Built-in reminders by tool

Several tools automate reminders, but plans differ.

FreshBooks
Late fees and reminders on Lite ($23/month)
Zoho Invoice
Automated payment reminders, free
Wave
Automated late-payment reminders on Pro
Invoice Ninja
Auto late-payment reminders on Pro ($14/month)

For details on each tool, see our invoicing software comparison.

Optional: add your own automation

If your invoicing tool lacks reminders, an automation tool like Zapier or Make can send an email when an invoice passes its due date. Each reminder uses at least one task or credit, so a daily schedule can use units quickly. Count them first with how Zapier and Make count usage.

Habits that help more than reminders

  1. Put the due date and payment link at the top of the invoice.
  2. Invoice on the day the work is done.
  3. Ask for a deposit on larger projects.
  4. Know who approves invoices at the client and send it to them directly.
  5. Write your late-fee terms into the contract before you need them. Check local rules on what you can charge.

Frequently asked questions

Polite, predictable reminders are normal business practice. A schedule keeps them from feeling personal.

Should I charge late fees?
